The On-site Services Coordinator is involved in all aspects of SFI building operations with a primary focus on front desk duties and facilities support. This job is critical to daily operations and must be performed on-site at our campuses in Santa Fe, NM.
Job Responsibilities
Provide secondary staffing for the front desk and building services support as assigned by the Santa Fe Institute Facilities Manager.
Duties for this position will change as needed which requires flexibility, adaptability, and responsiveness.
- Backup staffing for the front desk and assisting with events and workshops as needed
- Must be comfortable greeting and directing visitors, answering phones, etc.
- Checking calendar daily for staff/visitors on-site attendance and events
- Shipping and receiving mail
- Daily checks of the campus for tidiness, building failures, and security
- Directing vendors and following up with necessary paperwork
- Opening and closing both Miller campus (Tesuque) and Cowan campus (Hyde Park Rd.) including securing windows/doors
- Assisting the Facilities Team with health and safety training as needed
- Work closely with the facilities team to prioritize and execute rotating duties across campuses.
- Additional facilities duties as needed
- Provide support as requested, routinely moving office furniture and equipment, stocking supplies, and providing work feedback and status updates digitally
- In the event it is necessary, able to provide snow removal before staff arrives
Job Qualifications
- Demonstrated experience effectively organizing and prioritizing tasks, and taking initiative.
- Demonstrated experience working effectively under pressure of deadlines, frequent interruptions and changing or competing priorities.
- Excellent interpersonal skills including the ability to work effectively with a wide range of constituencies in a diverse community.
- Ability to learn new software packages as needed; proficiency in Microsoft Office.
- Familiarity with Apple software and ability to use a wide range of software tools, including Salesforce, MaintainX, Wrike, Box, calendaring and email.
- Ability to work independently with minimal supervision.
- Excellent oral and written communication skills.
- Discretion in dealing with sensitive and confidential information and sensitivity to cultural diversity.
- Ability to think ahead, work under pressure and with short turnaround time, handle multiple tasks simultaneously, and meet deadlines, as well as having the desire and devotion to making every event a success.
- Ability to understand visitor and staff needs and connect them to the right person at the right time and to anticipate guests and event needs.
- Ability to work with various managerial styles and personalities, and to work as part of a team.
- Scheduling flexibility is required as there will be some evening and/or weekend work.
- Must be able to lift and carry 30lbs.
